QUALITY MANAGEMENT SYSTEMS SPECIALIST

Job Summary:

To assist in acquiring and maintaining accreditation of the Quality Management System (QMS) to ISO 9001:2015 standard, by developing and monitoring QMS procedures, challenging inefficiencies and working with the team to initiate changes to procedure and documentation where required. Responsible for maintaining Westwind & Roadrunner 3D’s NIST compliance program utilizing NIST Special Publication 800-171 in close cooperation with Westwind’s IT leadership.

Duties & Responsibilities:

  • Ability to demonstrate a positive attitude
  • Ability to approach every task with enthusiasm
  • Act as Westwind’s Subject Matter Expert (SME) of ISO 9001
  • Ensure company achieves and maintains ISO certification
  • Sustain and advance the company’s Quality Management System to comply with ISO 9001:2015
  • Work closely with the COO to facilitate the coordination of the Quality Management System and validate implemented processes
  • Develop and prepare written in-house quality policies and procedures, and format processes consistently
  • Identify quality training needs. Develop and coordinate quality training programs
  • Promote quality objectives through company memoranda, newsletters, and specific training programs
  • Audit/review current existing quality procedures for compliance based on ISO requirements and audit history and develop/implement new ISO standards
  • Uphold, coordinate, and perform internal quality process audits for company according to established quality system schedule
  • Analyze and recommend appropriate changes of quality procedures to respective managers to help improve their processes
  • Oversee the Quality Management System by maintaining the corrective/prevention action program; monitoring, evaluating, and assigning corrective action plans to appropriate personnel
  • Report ongoing activities to Executive Management/ Board members and keep the company’s continuous improvement efforts on track. Deliver quarterly ISO presentation
  • Prepare Quality documentation and reports by collecting, analyzing, and summarizing information and trends including failed processes, corrective actions and re-validations
  • Assist the COO in the role of Quality Management Representative for Westwind; Coordinate and administer third-party Quality Audits and Certifications with third-party registrar, including the coordination of schedules, communication, reporting, and tracking follow-up actions
  • Obtain and uphold ISO trainings and Certifications specific to job role
  • Develop a Quality Assurance Department
  • NIST Related Duties & Responsibilities:
  • Act as Westwind’s SME of NIST Requirements
  • Ensure company complies with NIST security requirements
  • Assist COO in developing Cyber Security Policy, CUI training, and Security Plan.
  • Develop specific NIST/ CUI trainings for all employees
  • Prepare quarterly NIST presentations to Executive Management
  • Inventory Related Duties & Responsibilities:
  • Develop an inventory system utilizing RFID initiatives
  • Manage and maintain Westwind and Roadrunner’s company asset inventories.
  • Report to COO with updates, discrepancies, or concerns

EXPERIENCE AND REQUIRED SKILLS

  • 2-5 yrs years of hands-on experience with policy and procedure management; HS diploma
  • Proficiency in MS Word, MS Excel, and MS Outlook a MUST
  • Knowledge of operating standard office equipment
  • Ability to communicate effectively both written and verbal with all levels of the company
  • Strong organizational skills, thoroughness, and attention to detail
  • Proficient in data collection, analysis and presentation
  • Previous success in continuous improvement initiatives
  • Strong analytical skills
  • Passion for facilitating continuous improvement
  • Quality ISO Certifications preferred or willing to obtain after hire
  • Process Improvement skills
  • Strategic Planning
